Keepeek - Leveraging metadata from imported files: searching for HD image files stored in keepeek on a daily basis
The purpose of this FAQ is to provide a concrete example of how to use metadata from image files imported into keepeek. For example, it may be useful to use the width and/or height of a media file, which is included in the metadata, in the fields of the media file's record, in order to easily list "HD" media files on a daily basis. However, before reading this FAQ, it may be useful to read the article How to configure metadata. Here are the steps to follow:
1/ Create a "width" field that will be of the "number" type. You can refer to the administrator's guide, page 8, for this step.
2/ Add this new field to the relevant item record(s). You can refer to the administrator's guide, page 11, for this step.
3/ In the settings for the newly created field, go to the "Metadata Management" tab, enter "ImageWidth" in "Incoming Metadata" and click "Save".
4/ Repeat the first three steps, this time creating a "Height" field and entering the value "ImageHeight" in the "Incoming metadata" field.
5/ Import an image media file. Normally, the "Width" and "Height" fields will be filled in automatically if the original imported file contains the "ImageWidth" and "ImageHeight" metadata.
6/ Via the Settings>Labels menu, press "Add a label". You can then create an "HD" label with the colour code of your choice and press "Save".
7/ From the "Search" menu, select "Advanced Search". For further instructions, please refer to the "Advanced Search" documentation.
8/ In Advanced Search, click on "Show all criteria", then select the criteria "Width" and "Height".
8/ After selecting the "Between" operator for the "Width" and "Height" criteria, enter values greater than 1920 for the width and greater than 1080 for the height as the minimum limits (see screenshot above for example). For the maximum limit, enter values that you consider relevant. Then click on "Search". The search results will display the media that meet the criteria you have set.
9/ Still in "Advanced Search", click on "Options" and then "Save".
10/ You must name this advanced search, select the option "..or save a new search" and tick the box "Also save the value of the fields", then press "Save".
11/ Click on "Options" again and select "Manage my searches".
12/ In the "Manage search" window that has just opened, click on the "alarm clock" icon (see below).
13/ In the "Automatic night-time operation" window that has just opened, select the desired frequency of execution, tick the "Add labels" box, and in the "Labels to add" field, enter the label you have just created.
14/ For your information, the night-time operations you schedule are executed during the night, which means that if you schedule an operation to run "Every day", it will be fully executed for the first time on the day after it is set up. In the case described above, the HD label will be automatically applied to the relevant media the following day. This same operation will be repeated every day, so the HD label will be applied to the latest relevant media imported on a daily basis.
