At Keepeek, we’ve integrated ChatGPT into our platform via the Chat4o module to automate tasks such as analyzing, processing, and generating keywords from images. This technology—already widely used in solutions like Microsoft Copilot—helps optimize media management while remaining easy to use.
But what exactly does ChatGPT do with your files? Are your images stored? Sent elsewhere? And above all, do you stay in control? This article provides a clear overview—without unnecessary jargon—of what is sent, how it’s used, and under what conditions.
What is ChatGPT ?
ChatGPT is a natural language processing technology that uses machine learning, deep learning, natural language understanding, and natural language generation to answer questions or respond to conversations. It is designed to mimic human conversation by understanding your question or comment and responding in an engaging, conversational manner.
Keepeek uses the Chat4o module from ChatGPT which adds, among other things, image analysis, processing and generation functionalities.

Can I check the images sent to ChatGPT ?
The Keepeek administrator has complete control over the images sent. They have access to a ChatGPT control panel within the platform. Options include:
- Enable/disable autotagging on import. This allows you to manually choose which images are autotagged.
- This option is disabled by default
- Choose which users can run autotagging. By default, users with write access can start autotagging. However, the administrator can hide the Autotagging keywords field from certain groups of contributors. These groups will then no longer be able to run autotagging.
What is sent to ChatGPT ?
Keepeek provides ChatGPT with a Preview thumbnail with a maximum dimension of 607px. This format, which is not high resolution, is nevertheless sufficient for ChatGPT to provide relevant keywords to describe the thumbnail.
How is this sent to ChatGPT ?
Keepeek has an OpenAI API key for calling the ChatGPT service. All calls are made using this key over secure, encrypted channels. The addresses of the thumbnails supplied to ChatGPT are also https.
Where is the data processed by ChatGPT and how is it used ?
Data processing is carried out in the United States. ChatGPT complies with the European Commission's Standard Contractual Clauses in the context of this processing.
Which contract is used ?
The customer does not need a specific contract with ChatGPT. Keepeek has subscribed to the ChatGPT ‘Services for businesses’ service.

Keepeek has subscribed to the ChatGPT ‘Services for businesses’ service. This service clearly states that the thumbnails analysed by ChatGPT via Keepeek are not used to drive the ChatGPT engine. Keepeek customers retain ownership of the images sent to ChatGPT, as is already the case for images stored in the Keepeek DAM.
